Ā eCN operates an automated invoicing engine that charges and credits both parties at the same time based on the Terms of the Request and the updated data in the Request ā regardless of when it's entered.
Ā To offer your convenience, eCN essentially pre-pays or over-pays costs on behalf of users or suppliers.Ā But, when Gate-In Date is entered late, especially in Per diem, it can result in overcharging or incorrect settlements.Ā
Ā Just like an overcharged credit card payment needs to be adjusted, this triggers a recovery process ā a transactional correction, similar to how financial services handle advance settlements and reversals.
šĀ Case 1. Within 60 Days from Actual Return Date
Ā If the Gate-In Date is updated late but within 60 days:
- eCN charges or recovers amounts based on the contractual payment terms with each party.
- If a party was overcharged, they receive a credit.
- If eCN already credited a party based on incorrect data, a recovery charge is issued and the party is expected to pay it.
Ā Ā Ā Ā Key Action:
Ā Ā eCN initiates the recovery process based on previously executed automatic settlements.
šĀ Case 2. Beyond 60 DaysĀ from Actual Return Date
Ā If the delay exceeds 60 days:
- eCN charges the supplier for the adjusted overpaid amount.
- Once eCN successfully recovers the amount, it's transferred to the user.
Ā Ā Ā Ā Key Action:
Ā Ā Suppliers and users should avoid any further delays in confirmation. The supplier must proceed with prompt credit processing, and eCN is obligated to immediately transfer that credited amount to the user.
- What deeply concerns eCN is when a user gets overcharged through PDM even though the container has already been returned. If the user delays payment due to discrepancies in the invoice, even when justified, an outstanding history may accumulate, which could lead to a reduction in CEU.Ā
To Supplier:Ā
- Even if the supplier
gets over-credited due to a minor delay, the refund process will naturally follow. And the refund doesnāt include any service fees, so suppliers must be careful too.
